Inviting people

On this page

An invitation is a link. You make one for an email address, pick the role the person joins on, and send them the link yourself.

The invitation is a link, not an email

Stylehub does not send the invitation for you. Creating one gives you the link, and you send it however you already talk to that person.

Making an invitation

WhereDashboard, Team

  1. On the team page (opens in a new tab), in the Invite a teammate panel, type the email address. Capital letters make no difference.
  2. Pick the role. It starts on Editor.
  3. Press Create invite link. The link appears under the form as Invite created. Share this link:, with a Copy button beside it.
  4. Send the link to the person.

If you lose the link, it is on the Pending invites list behind the Copy button for as long as the invitation is open. Anybody with the link, signed in on that address, can join.

Who may invite, and who may revoke

team:invite
Invite new members. Shows the form and the Copy button on a pending invitation.
team:manage
Change roles and remove members. Shows Revoke on a pending invitation, and lets you change somebody's role once they are in.
team:read
See team members. Enough to see the members and the open invitations, and nothing more.

The owner and an admin hold all three. An editor and a viewer hold only team:read. A role you built yourself holds whichever you ticked. See Roles and what each one may do and Custom roles.

Choosing their role

RoleWhat they arrive able to do
AdminRuns the workspace day to day: edits and publishes the manual, manages assets, the team and settings.
EditorBuilds the brand manual and manages assets, but does not manage the team or settings.
ViewerRead only access to the manual and assets.

Custom roles are in the same dropdown, under the built in ones, listed by their own names. You can invite somebody straight into one.

Owner is not in the list: that seat is moved rather than handed out. See Handing a brand over. The role you pick is not fixed, and anybody with team:manage can change it later from the member list.

How long an invitation lasts

7 days. The team page lists every unaccepted invitation under Pending invites with the address, the role, and either Expires with the date or Expired in red.

  • An expired link shows This invite is no longer valid.
  • Expired invitations stay on the list until you revoke them or invite the address again.
  • An expired invitation stops counting against your seat limit.

Accepting the invitation

Opening the link while signed in with the invited address shows Join with the brand name, the role you were invited as, and one button: Accept invite. Pressing it adds you to the brand on that role, makes that brand your current one, and lands you on the dashboard. The link cannot be used a second time.

Without an account yet

If you are not signed in, the page says Log in or sign up with and the invited address, then offers Log in and Create account. Both bring you back to the invitation afterwards.

  • Signing up also creates a brand of your own, with its own starter manual. Joining somebody else's brand does not replace it: you will have two brands and a switcher between them.
  • If new sign ups are closed, a live invitation still lets that one address register. Any other address is refused.

Signed in as somebody else

An invitation belongs to one address. Open the link signed in as a different one and the page says You are signed in with a different email than the invite, names the invited address, and asks you to Sign out and open this link with the invited address. There is no Accept invite button.

Resending and correcting

Invite the same address again. The pending invitation is refreshed, not duplicated:

  • You get a new link. Any link you sent before stops working, so send the new one.
  • A new expiry, 7 days from now.
  • The role is replaced by whatever the form says this time. This is how you correct a role you picked wrongly.
  • No new seat is taken, so this works even at your member limit.

Revoking

Press Revoke on the pending invitation and confirm with Revoke invite. The link stops working and shows This invite is no longer valid, and the seat it was holding is free again. You can invite the person again at any time.

Revoking does not touch anybody who has already accepted. Removing a member is the Remove button on the member list.

When the plan runs out of seats

Your brand may hold a fixed number of people, the owner included. Members and live invitations both count, so an invitation reserves a seat while it waits.

PlanPeople per brand
Free3
Pro15
Business100

At the limit the form refuses with your plan name and the number, creates nothing, and offers an upgrade beside the message. Four ways past it:

  • Revoke a pending invitation, which frees its seat at once.
  • Let one expire.
  • Remove somebody from the member list.
  • Upgrade, which takes effect at once.

Whose plan is counted

The plan of the account that owns the brand, not the plan of whoever is pressing the button. See What each plan includes.

Messages you can see

This person is already a member.
Change their role from the member list instead.
That role no longer exists.
The custom role you picked was deleted while the form was open. Pick another role.
This invite is no longer valid
The invitation expired or was revoked. Ask for a new link.
This brand is frozen because your plan does not cover it.
A downgrade left the brand outside what the plan covers, and inviting is blocked until you make it one of your active brands or upgrade. Nothing has been deleted. See What a downgrade freezes.

If a custom role is deleted before they accept

They still join, on Viewer. Nobody is refused at the door, and anybody with team:manage can put them on the right role afterwards.

What is recorded

Every invitation appears in the activity log under Team, with who sent it, the address, and the role. See Activity, versions and restoring.
