The trash, storage and the quota

On a paid plan a deleted file waits in the trash for 30 days, and it still counts against your storage while it waits. You can put it back at any time, or empty the trash to get the space back now.

What deleting a file does

  • Your pages stop showing it immediately. Every block that used the file is cleared at once, on published pages too. A section that counted it stops counting it, which changes completeness.
  • The file moves to the trash on Pro and Business, or is removed straight away on Free.
  • Its older versions are removed too. When the file itself is removed, every version kept from earlier replacements is removed with it. See Renaming, replacing and cropping.

Restoring is not undo

A restore puts the file back in your library. It does not put it back on the pages it was on. You have to point those blocks at the file again. The delete dialog warns you before you confirm, and tells you how many of the selected files a manual is currently using.

The delete dialog says the same thing. On Free: This file will be deleted permanently. This cannot be undone. On Pro and Business: This file will move to the trash and can be restored for 30 days. After that it is deleted permanently.

Expired files are removed once a day, so a file can stay a few hours past its 30 days. It is never removed earlier.

A downgrade does not empty the trash early

Anything already in the trash keeps its full 30 days, whatever plan you move to. The plan decides only whether new deletes go to the trash at all. See What a downgrade freezes.

The trash tab

WhereDashboard, Assets, Trash

The tab sits next to Files and Brand and carries the number of items in it. On Free it appears only while something is still in the trash from a paid plan. The line at the top says how many items there are, how much space they take, and that they count toward your storage until they are removed. Each item shows:

Name and size
The file, and what putting it back costs.
Folder
Where it was, or Unfiled. It returns there when restored.
Deleted
When it was deleted, in your time zone, and by whom.
Time left
12 days left, rounded up, so a file with eleven hours left says 1 day left. Once the window is up the badge turns red and says Deleting soon.

You can switch between grid and list, and the tab remembers your choice. At most 500 items are shown at once.

Putting a file back

  1. Open the trash (opens in a new tab).
  2. Tick the files you want, or press Select all. Up to 500 at a time.
  3. Press Restore in the bar at the top. In a preview, the Restore button beside the name restores that one file.
  4. The file is back in its old folder with its name, categories, tags and kept versions. Point the blocks that used it at it again.

Restoring costs no storage, because the file never stopped counting. It is refused only when a folder requires a higher role to delete from than you have. The message names the folders.

Emptying the trash

Two ways to get the space back before the window is up.

  • Some files. Tick them and press Delete permanently.
  • Everything. Press Empty trash. The dialog says how many items and how much space it frees, and asks you to type empty to confirm.

Both remove the files and their kept versions and free the space at once. Both handle 500 files a press, so with a larger trash press again for the next 500. Files in a folder you may not delete from stay where they are.

Permanent means permanent

Nothing recovers a file after this. The removal is recorded in the activity log with the first few file names and the space freed. See Activity, versions and restoring.

Who may delete, restore and empty

All three need the same permission: asset:delete, Move files to the trash and empty it. Owner, Admin and Editor have it. Viewer does not. A custom role can carry it. See Roles and Custom roles.

A folder can also require a higher role to delete from, and a folder inside another follows the stricter of the two. A file deleted out of a folder you cannot see does not appear in your trash. See Folders and categories.

What counts against your storage

Storage is counted per brand, not per account. It includes:

  • Every file in the asset library.
  • Every version kept when a file was replaced. A replacement needs room for the old file and the new one.
  • The still frame stored with a video, and generated logo variants.
  • Everything in the trash, until it is removed.

The bar on the assets page (opens in a new tab) shows what you have used. Once four fifths of it is gone, a Nearly full link appears beside it. The same figures are on the overview (opens in a new tab) and Billing (opens in a new tab).

When storage is full

Nothing is deleted and no published page is taken offline. You just cannot add anything new, and each place says so:

Uploading
Storage limit reached. Upgrade your plan for more space. See Uploading files.
Replacing a file
There is no room for this. The old version is kept as well, so a replacement needs space for both.
Duplicating a file
Not enough storage on the Free plan. Delete files or upgrade. The message names the plan you are on. A copy is as big as the original.
Making logo variants
Not enough storage on the Free plan for these files. Delete some or upgrade. Again with the name of your plan.

What to do, in order

  1. Empty the trash. The line at the top of the tab tells you how much space is waiting there.
  2. Look for files nothing uses. The library says how many files are in use, and each file lists the sections showing it. See Where a file is used.
  3. Delete the heavy originals. One print resolution photo or uncompressed video is worth hundreds of smaller files. Sort by size in the list view.
  4. Upgrade. 25 GB on Pro and 250 GB on Business, effective at once. See What each plan includes.
